Article summary

This page is where to view, download and send ERA. After enrollment (see Provider Enrollment) the payer will start submitting ERA to Claim.MD after the enrollment has been processed by the payer. This usually takes a week or more. It is crucial to check both the old EDI and Claim.MD within the first two weeks to ensure that no ERA transmissions are missed. If ERA does not start to appear after a week of enrollment, contact the payer's ERA department.


  1. Click on View ERA page on the left-hand navigation menu.

  • The View ERA list is where to view the individual ERA files that were received from the payer. By default un-viewed ERA is displayed. 
  • There are other views of ERA available including: past Pending Download, Past 30 days payments, monthly payments
  • Notice the EFT / Check # the amount, provider pay dateand provider NPI.  Click on the EFT# to display a PDF with a detailed view of ERA. 

Search ERA

  • Alternatively, specific ERA can be searched for by clicking the     button and entering the criteria in the pop-up window.

To Download an ERA

It is possible to download ERA in an x12 format to a local drive  These can later be saved and uploaded into a Practice Management or other healthcare system.

  1. Click on the checkbox next to the ERA to download. Alternatively, click on the checkbox on the top of the list to check all ERA on the list.
  2. Click on Select Action dropdown on the bottom left of the screen. 
  3. Select the Download Selected 835 option.

To Send ERA to the SFTP Server
This will send the ERA to an SFTP server that is configured to communicate with ClaimMD (see instructions on setting up SFTP). These files should be pushed periodically to be uploaded to the SFTP server.

  • Click on Select Action dropdown on the bottom left of the screen.
  • Click Send to SFTP server

To Add Notes to an ERA

  1. Click on Selected Action dropdown
  2. Select Add Notes
  3.  A Notes field will display. Enter your notes and then click Save.
  4. The notes will display with the date/time of notes, the user who created the note, and the actual note.

To Get Help for an ERA

  1. Click the Selected Action dropdown next to the ERA record
  2. Select GetHelp in the dropdown
  3.  A ticket will appear to the right. You can select any ticket this ERA may be associated with in the dropdown or keep it as the default New Issue. Enter a detailed description of your issue. Click the button on the bottom of the window.

Missing ERA Tickets

If you're unable to locate an ERA in the View ERA page, indicating a missing entry, please be aware that you should create a support ticket in the general Support Tickets section rather than through the View ERA page.

To view a list of Individual Patient Claim Information on ERA record

This will provide a list of individual patients on an ERA to find information on just that single patient.

  1. Click the Selected Action dropdown next to the ERA record
  2. Select Single Patient in the dropdown
  3.  A list of patient claim information on the ERA, sorted in alphabetical order of patient name will display. You can click on the name and it will give you the specific information regarding that patient that is on the ERA without other the patient information from that ERA.

To view a list of Zero Pays

This action will provide records of patients in an ERA that did not receive payment on their claim (e.g. denials, etc.).

  1. Click the Selected Action dropdown next to the ERA record
  2. Select Zero Pays in the dropdown
  3. A list of zero pay patient records will display for that ERA selected

To Locate Claims Associated with an ERA

Sometimes it is necessary to view a claim(s) associated with an ERA for review, correction, appeal, or other reason. Claim.MD makes this simple from the View ERA page. To locate a list of associated claims for an ERA:

  1. Click the Selected Action dropdown next to the ERA record
  2. Select Locate Claims in the dropdown
  3. A list of patient claim records will display for that ERA selected. From here click into an individual claim to view the claim. 

ERA Activity Status Filters (filtering by ERA that has been viewed, downloaded, sent via SFTP, etc.)


It is possible to filter ERA between remittances that have not been viewed or downloaded by yourself, and those that have not been viewed or downloaded by any user

This is done using the "By" dropdown on the bottom right of the screen (see image above).

To only display ERA that has not been viewed by yourself (see image above):

  • Select Un-Viewed in the top right dropdown.
  • Select "Me" in the bottom right dropdown and

To display ERA that have not been viewed by any user :

  • Select Un-Viewed in the top right dropdown. 
  • Select "Anyone" in the bottom right dropdown

To view ERA that have not been downloaded by yourself:

  • Select Pending Download on the top right dropdown. 
  • Select "Me" in the bottom right dropdown

To view ERA that have not been downloaded by any user:

  • Select Pending Download on the top right dropdown. 
  • Select "Anyone" in the bottom right dropdown

To view all ERA in the past 7 days:

  • Select Past Week Payments on the top right dropdown
    This displays all ERA in that time period regardless of which ones were viewed or downloaded by a user.

To View all ERA in the past 30 days:

  • Select Past 30 Days Payments on the top right dropdown. 
    This displays all ERA in that time period regardless of which ones were viewed or downloaded by a user.

To View ERA by monthly data (in the last year):

  • Select (Month / Year) Payments (e.g. February 2023 Payments) on the top right dropdown. 
    This displays all ERA in that time period regardless of which ones were viewed or downloaded by a user.

Icons

  • If ERA is viewed, you will see an eye icon next to it.
    This icon indicates the ERA that have been viewed by you or anyone, depending on which selection is made in the dropdown filter.
  • If ERA is downloaded, by selecting Download Selected 835 in the Select Action dropdown, a blue checkmark will display next to the ERA. If it was viewed and downloaded you will see a checkmark and and eye next to the ERA (see image below).
    This icon indicates the ERA that have been downloaded by you or anyone, depending on which selection is made in the dropdown filter.
  • If you’re unsure if an ERA has been uploaded to your system via SFTP, you can head to the View ERA section of your Claim.MD account and look for the STFP Download icon. If you see the icon next to the record (shown in the screenshot below), that means the ERA has already been uploaded to your account.
