How Tax ID Sub-Folders Work for SFTP Submissions

For SFTP submissions, the way sub–Tax ID folders are created in the /ReceiveFiles folder is controlled by the TaxID Sub-Folders setting on the account. This setting affects only the data that Claim.MD returns to you (payer status messages and ERAs), not how you send files to Claim.MD.

To access this option:

  1. Click Settings from the left menu.
  2. Click the Account Settings tab.
  3. In the TaxID Sub-Folders drop-down, select Yes to create subfolders by Tax ID. Otherwise, leave the option set to No.
 


A few key points:


1. All Status and ERA Files Always Have a Tax ID

Every claim status message and ERA file we generate will include an associated Tax ID.


2. When TaxID Sub-Folders Is ON

  • Under /ReceiveFiles, Claim.MD will automatically create a subfolder for each Tax ID that has:

    • A payer status message, or

    • An ERA file

  • Status messages are split into separate files per Tax ID and placed in the corresponding Tax ID subfolder.

  • ERA files are also placed in the matching Tax ID subfolder.

If a claim is submitted without a valid Tax ID (missing or invalid):

  • The rejecting status message is placed into a folder named using only the numeric portion of the submitted Tax ID (up to 9 digits).

  • If there are no valid digits or the Tax ID cannot be interpreted, the folder name will be 000000000.


3. When TaxID Sub-Folders Is OFF

  • All returned files (status messages and ERAs) appear directly in /ReceiveFiles, with no subfolders.

  • Status files may contain statuses for multiple Tax IDs in a single file.

  • ERA files are still generated as one ERA per file, but all ERAs are placed in the parent /ReceiveFiles folder instead of Tax ID subfolders.
