How Do You Manage ERA and Historical Data When a Provider Changes Claim.MD Accounts?

Moving a provider and user to a different account won't cause any issues. As far as Payers are concerned, your enrollments are with "Claim.MD"; they do not know or care which specific account within our system you use.

Effectively, the Provider's existing enrollments will "follow" them to the new account. You can begin submitting claims from the new account right away. Once the NPI is deactivated (deleting the Provider from the Provider list) in the original account and activated (add provider to provider list)  in the new one, any ERA the provider is already receiving will be directed to the new account. You’ll also be able to manage any new enrollments as needed.

Historical data will remain in the original account, but you can download and transfer any of it to the new account if you'd like. Instructions are provided below.

You can download the account history (claims and ERA) in the following ways:

  • 835 files (ERA) can be downloaded in batches of 100 from the "View ERA" menu. PDFs of 835 files must be downloaded individually.
  • Claim summaries and their most recent statuses can be downloaded from the "Reporting" menu. Select "Billed Charges by Facility/Provider," click on a pie chart segment, and then choose either the spreadsheet or printer icon.
  • PDFs of individual claims, including full claim histories, can be downloaded one at a time using the printer icon on each specific claim.
